Meeting Minutes
November 13, 2007
Welcome – Gerald Roznovsky – opened the meeting at 7:35 p.m.
Band Director Reports
- Mr. Koch –
- Band directors were not present at the beginning of the meeting due to their attendance at the Freshman regional tryouts
- Gerald relayed, on behalf of the band directors, their appreciation for ALL the parent’s help during Marching season. Very successful season.
- Mr. Casey –
- Expressed his appreciation of support to all the parents.
- Will try to post an updated trip fee list this week.
- Jazztravaganza will be held this Thursday at 7:00 pm at Clarion. Students have a clinic from 4 – 5:30 pm at the Clarion.
- Kelby Koch, Sean Casey, and Nick Lipscomb made All-State Jazz Band
- Band will be in the normal location in the stands for the playoff game
- Community Pep Rally at 5:30 on Thursday
- Confirmed that Chili Supper tickets were distributed to students today.
- Mr. Myers - Not present – Freshman Regional
Secretary Minutes – Jackie Hicks
- A motion was made by Mike Morris to approve the Booster Club minutes from the October meeting. The motion was seconded by Beverly Cleaver and the minutes were unanimously approved by meeting attendees
Treasurer Report – Robin Wise
- Robin reported that the checkbook balance is currently $105,965.78. Report attached.
- Percussion instruments have been paid for so the percussion balance is now correct.
- Robin reminded the Boosters that almost $68 M is designated for Disney trip money.
- There was a parent question about Chili Supper tickets and getting the funds into the student accounts prior to the trip fees being due. Students need to sell tickets and get the money turned into locker 301 as soon as possible to have this credited to their account.
Committee Reports
- First Vice President – Sunny Henry
- Chaperone participation was very high throughout the season – Sunny expressed her appreciation.
- Sunny told parents that they are welcome to chaperone the playoff game this Friday. She does need the responses by Wednesday at 5:00 pm as they will be out of town this Friday.
- The McElroy’s have stepped forward and begun to train for Sunny and Sam’s job for next year.
- Sunny has made a chart for chaperone attendance to keep record of what each person has done this year. This is available for interested parents to view.
- Sam gave an update of the storage of the props. Mrs. Budwine has offered a storage area for the band to use until props are needed again. Booster club is very appreciative of Mrs. Budwine’s ongoing support of the band.
- Second Vice President – Keith Wise
- Spirit Support – Frances Socha
- Thanked the parents for their support throughout the season.
- Asked parents to make sure that students bring their water bottles to the playoff games.
- Food orders are due by 4 pm the Thursday prior to Friday game. Orders after that point must be taken by parents to the respective food provider.
- Hospitality – Audrey Perez (reported by Frances Socha on Audrey’s behalf)
- Asked parents to remind students to take their instruments and uniforms home after the game on Friday. The band hall will be off limits due to decorating for Masquerade beginning Saturday morning.
- Sign-up sheets for Masquerade party food are available at the meeting.
- Reminded parents that the party starts at 9 and ends at 12 midnight.
- Students must enter through the side hall and door – not the main band hall doors. All attendees must be in costume.
- Chaperones were reminded to stay to help clean up after the Masquerade party.
- Public Relations – Mark Abel
- Have merchandise for sale tonight at meeting as well as for playoff game. Has new items including sweatshirts (without hoods).
- Auxiliary – Rhonda Kuharski
Old Business
- Masquerade Party – Audrey Perez
- Covered in Hospitality report
- Chili Supper – Debra Perry
- Donation request team is in place. Debra is soliciting help for other team leaders. Please contact Debra if you are interested in any leadership positions.
- Cafeteria and kitchen have been reserved.
- Advertising for the Chili Supper will be on Channel 19 to help promote the event.
- February 2 is the date for the Chili Supper.
- Tickets were distributed to the students today.
- Gerald asked that we make sure we have towels available for washing and drying dishes. Debra noted that this was on her list.
- Hosting UIL Solo and Ensemble – Kaelyn Koch
- Same weekend as Chili Supper.
- Kaelyn gave an overview of the event
- Booster club feeds and provides drinks for the judges and runs a concession stand for students.
- Requesting homemade cookies and brownies from the Boosters. Kaelyn did note that providing desserts for Chili Supper should be a priority if parents are limited in what they are able to provide.
- Kaelyn needs help from parents – sign up sheets for shifts will be available after the meeting
- Items should be bagged and marked with cookie type if possible.
- Logo Copyright – Jeff Gilbert
- Jeff has completed the application for the copyright
- Once an intent to copyright is established, the logo is be protected.
- Sunny also asked for volunteer parents to come to sell shirts to students at lunch as the students have not had much chance to purchase items from the band.
- Disney Trip – Jim Koch, Brian Casey
- Trip fee is due on the 29th of November – there should be a total of $300 should be in each students accounts at this time.
- Hotel accommodations have not been confirmed yet. Days Inn Main Gate East is currently reserved.
- Total cost has not been confirmed yet. Mr. Casey does not believe it will go over $850 total.
- Instruments will be transported with the “Black Pearl”.
- Mr. Casey confirmed that the band is scheduled to march on Sunday at 7:00 pm in the Disney light parade.
- Expect that the students will be responsible for transporting their uniforms – more details to follow.
New Business
- 2007-2008 Photo CD Package – Gerald Roznovsky
- Offering a photo package – information is available via a write-up for parents. Plan to begin selling the package at the Christmas concert.
- Cost will be $20 for the package. 100% of the proceeds will go to the band
- Parents commented on the quality of pictures being excellent this year. Parents will be have the ability to freely use prints via an unrestricted copyright.
- If parents have not received their photos from last year, email Gerald and he will forward Linda’s email address to them.
- Salvation Army Christmas Bell Ringing – Mrs. Funk
- Enlisting bell ringer volunteers for the week of Dec 1 - 8 – for station at Walmart.
- Students can do this for community service hours for honor societies.
- Project Graduation Cookbooks – Mrs. Crabtree
- Soliciting recipes for their upcoming recipe book fundraiser for Project Graduation.
- Had information available for any parents willing to participate.
- Senior Shirts – Mr. Baker
- The Baker’s, along with their daughter Jessie, are coordinating getting a Senior Show Tour shirt made for all Seniors.
- Mr. Baker asked that parent’s tell their Seniors to make sure Jessie knows that they would like to have a shirt.
- Info was provided to Mr. Baker to make him aware that both Mark Able and Susan Campbell have email distribution lists for all Seniors to facilitate communication re: these shirts.
- Buc Band Yearbook – Gerald
- Gerald is interested in putting together a band specific yearbook.
- Still confirming details and projected pricing with the band directors.
- Will provide more details later.
