Meeting Minutes

 September 11, 2007

 

Welcome – Gerald Roznovsky – opened the meeting at 7:30 p.m.

  •  

Band Director Reports

    • Mr. Koch –
  •  Friday game is 7:30 PM. – change from original posting.  Also, location has changed so check the website for updated directions.
  • Competition - BOA – Pearland – Oct 6  – march at 3:30 PM
  • Competition - Woodlands – 11:45 warm-up time.
  • Competition - USSBA (Oct 27th) – Pearland – march later in the evening
  • Competition - BOA – San Antonio – estimate a late morning march.  Plan to stay overnight on Saturday in San Antonio.
  • Disney trip approval by the Superintendent is pending.  No finalized arrangements should be made until the approval is granted.  Found a hotel for the band $34/night.  Plane ticket prices have increased.  Goal of the band directors is to reduce cost as much as possible for the entire trip. 
  • Have looked at charter flights but it is not economical.
  • Hope to march on Saturday at Disney but there is an application process that must be completed before they will know the marching time/day.
  • Will have one more student fundraiser and chili supper.  Unsure of what the fundraiser will be.
  • Parent expressed a concern about cars coming into the parking lot prior to completion of practice.  Mr. Koch reminded parents to be cautious.
  • Complemented the students on excellent regional music performances last week for their chair tests.

  • Mr. Myers -  No report – working with band

Secretary MinutesJackie Hicks

  • A motion was made by Keith Wise to approve the Booster Club minutes from the August meeting.  The motion was seconded by Rita DePalatis and the minutes were unanimously approved by the meeting attendees

Treasurer Report Robin Wise

  • Robin reported that the checkbook balance is currently $100,751.61.  Report attached.
  • Explained that a line item for trip fund has been added.  Robin reported that the money for the trip will go through the Booster Club account and she will write checks but she will not be responsible for knowing any details regarding individual student balances.   

Committee Reports

  • First Vice President – Sunny Henry
  • Thanked all the parents who have chaperoned the first two games.
  • Sunny reiterated that parents can email her directly regarding any game they want to chaperone but may not have previously signed up for.
  • Sunny encouraged all the parents to continue their support the band via chaperoning because we will continue to add additional tasks as the season progresses that the chaperones will be needed to assist with such as: gauntlets, gloves, props, etc.
  • Sunny encouraged parents to email her with any questions they might have.
    • Second Vice President – Keith Wise
      • Golf Tournament Fundraiser – currently have 20 sponsors and 11 teams signed up for the tournament that is scheduled for next Tuesday, September 18.  Still looking for volunteers to help on tournament day so he encouraged anyone that can help to contact him directly via email.  They will have Jackson Oaks cater the food.
    • Spirit Support – Frances Socha
      • HEB has done a great job in supporting the band with discount prices on all beverages. She encouraged all parents to reiterate their thanks to HEB staff when shopping there.
      • 200+ students ordered meals the first week.
      • Envelopes for Chick-Fil-A are now available.
      • Cash only is accepted for game day meals – no checks.
    • Hospitality – Audrey Perez
      •  No report
    • Public Relations – Mark Abel
      • Mark reported on our new logo and showed a sewed out version of the selected design.
      • He plans to have some new merchandise available prior to the game this Friday to sell to parents in the band hall.
      • Decals with the new design will also be available on Friday.
      • Mark has ordered men’s and woman’s style shirts for the new logos – new shirts will be made from moisture wicking fabric
      • Parent asked a question about availability of stadium seats.  Mark said that he was not sure what the minimum order and respective cost of the seats would be and that he will look into this and report at a future Booster Club meeting.
      • Mark also plans to sell some items (hoodies, blankets) that do not say “band” to appeal to a larger school population and raise additional funds for the band.  Hopes to have these available for the first home game.
    • Auxiliary – Rhonda Kuharski
      • Gerald made the Booster Club aware of the Color Guard student’s home that burned on Monday.  He reported that the Board agreed that the Booster Club would pay for replacement of the uniform, shoes, etc. that were lost in the fire.
      • Additionally the Booster Club passed the “drum” so attendees wishing to do so could make monetary donations to the family.

Old Business

    • Truck Update/Report – Sam Henry
      • Reported that the interior racks and inside of the truck were 95% complete.
      • Intent is for instruments to be stored on the new racks for all games and competitions.  This will add significantly to the life of the new instruments.
      • Last Friday’s game was the first game where the racks were used.
      • Load Crew will pick up the task of loading the truck for future games.  One adult will be in the truck and one adult will operate the lift, which is a rule of the Booster Club.
      • Continued to reiterate that parents must not drive up the road in front of the band hall.  The Black Pearl will now be parked on the road prior to the game.
    • Show Props Update/Report – Sam Henry
      • Construction of props will begin this week.  Civil engineering and wind load calculations have been complete to be sure that all the props are safe.
      • Sam gave the dimensions of the props which are quite large and discussed the dynamics of moving the props and the need for lots of continued parent support.
      • Parent asked a question about construction of the props.  Sam reported that the steel work is being donated by a local contractor.  Castors and plywood must be purchased and prepared.  Current plan is to purchase the artwork for the props.
      • Sam will need additional parent support to complete the props.  He will send emails via Mark to let folks know when help is needed.
    • Golf Tournament Fundraiser – Keith Wise
      •  Covered in the committee report section.
    • Masquerade Party – Audrey Perez
      • Party will be held Nov. 17 after the Festival of Lights Parade.  It is held in the band hall.
      • Sign up sheets are available for decorating, chaperones, and food.  All chaperones are expected to assist with clean-up.
    • Patti Roznovsky provided an update on item from last months meeting
      •  Officer – Section Leader phone numbers are available to parents and students.

New Business

    • Uniform Update – Marylou Stepian
      •  Last Saturday all uniforms where checked for length.  If bibbers have safety pins in the hems they need to be adjusted to this length.
      • Pants should routinely be kept at home by the students while jackets remain at the band hall.
      • Frakey’s cleans the bibbers for $2.15.  Marylou encouraged parents to have the bibbers cleaned every 2 – 3 weeks or as needed.
      • Offered for any parent’s with questions to email or call her or Trixie Bone.
    • Parent Toyota Center Fundraiser – Keith Wise
      • Reviewed the prepared handout highlighting conditions associated with the proposed parent fundraiser at Toyota Center.  This is being offered as an option to parent’s to facilitate their ability to raise money for their student’s trip fund.
      • This fundraising opportunity complies with UIL rules.
      • There are some events that will not include alcohol sales for parents who do not want to complete TABC training. 
      • If funds exceeding $850/child are raised, the residual funds will go into the band general trip fund.
      • Question about carpooling to events – Keith indicated that parents will meet at band hall and carpool to Toyota center.
      • Keith explained the profitability differences between Toyota Center and Minute Maid – Toyota Center should be equal to or better than Minute Maid.
      • Keith told parent’s that they must sign the fundraiser sheet.  Keith said that parents must sign the form or they will not be able to work.
      • Parents working events at Toyota Center are not allowed to go into the stands or take breaks during the night.
      • Keith also indicated that he has volunteered to keep track of all the parents that work events although this is not specifically a Booster Club sponsored event. 
      • Parent asked a question about the previous cell phone fundraiser – Keith reported that it did not pan out for the Booster Club because of lack of phones collected.  He did indicate that there are other organizations that can benefit from donated cell phones.
    • Band Senior Night – Susan Campbell
      •  Susan gave an update on Sr. night which is Nov. 9.  She has agreed to provide details to parents on how they can acquire t-shirts for this game, even though this is not a specific band booster event. 
      • All details have been sent via email to Sr. parents.  Parents can also contact Susan directly for details if they did not receive her email.
    • By-Laws Review Committee – Gerald Roznovsky
      •  Gerald report that Linda Pirtle, Sam Henry, Jeff Gilbert and Patty Roznovsky have volunteered to be on a committee to review the By-laws and report to the Booster Club by the November meeting.
    • Copyright of Band Logo – Gerald Roznovsky
      •  Jeff Gilbert is coordinating copywriting the band logo.
      • This will be owned by the band and the band will control use of the logo.

          Question/Answer Time

    • Pictures CD will be available at the October meeting.  Email has been mailed to parents with details.  Banquet pictures will also be made available at this time.
    • Parent suggested that we might put a clothing donation box for the Montoya family in the band hall.  Will follow up with the Counselors to see what actions have currently been taken to support the family.
    • Concern was voiced about the large drum major stand that was placed on the field prior to the Belles performance last week in error inadvertently blocking the view.  This will not be done again.  The stand will be placed on field right before the performance.
    • Freshman parent commented on the excellent support for the students by all the parents.
