Buc Band Booster Club
Meeting Minutes
 August 14, 2007

Welcome – Gerald Roznovsky – opened the meeting at 8:00 p.m.

  • Welcomed all the folks to the meeting
  • Noted that Booster Club meetings are used to communicate many events associated with marching and concert season
  • Reviewed the agenda

Band Director Reports

Mr. Koch –

  • Great year already with the band – impressed with how well the students are doing
  • 308 students in the band including 72 Seniors and 90 Freshman
  • Introduced Jason Myers
  • Changes in calendar – Sept 17 community pep rally (week of homecoming)
  • Marching Contests – Oct 6 – BOA; Oct.13 Woodlands; Oct. 16 – UIL; Oct. 27 - TBD, Nov 2 & 3 – BOA at Alamo Dome (Band has a Saturday morning slot (will probably leave early Sat morning and come back Sunday)
  • Disney Trip – Jan 17 – 21, Leave Wed evening and come back Monday. Will try to make it as economical as possible   Chili supper tickets will be handed out sooner than normal since that is a prime fundraiser for the students.
  • Fundraiser – started last week will be turned in next week.  Profits go to the student accounts.
  • Plan to have one additional fundraiser this fall

Mr. Casey –

  • Attending the Pool Party

Mr. Myers -

  • Mr. Myers was introduced by Mr. Koch.  The newest band director is a woodwind specialist from University of North Texas
  • Taught previously at Denton H.S., Northwest H.S. and Magnolia H.S.
  • Mr. Myers thanked the community for the great welcome he has received
  • Color Guard is up and running and he is very impressed with how well the guard has done
  • Looking forward to working with the bands as well once school begins
  • Impressed with the turn out for the Booster Meeting – Mr. Myers thanked the parents for their support of the band

Secretary Minutes – Jackie Hicks

  • A motion was made by Susan Campbell to approve the Booster Club minutes from the April meeting.  The motion was seconded by Frances Socha and the minutes were unanimously approved by the meeting attendees
  • Mentioned to parents that they will find minutes from Booster meetings posted on the Buc Band website

Treasurer Report – Robin Wise

  • Robin reported that the checkbook balance is currently $54,005.94.  She informed the Booster Club that the current balance would be reported at each Booster Club meeting.
  • Annual audit has been completed
  • Books have been left with Finley & Neal to prepare the 2006-2007 tax preparation

Committee Reports

  • First Vice President – Sunny Henry
    • Chaperone sign ups are available for all the football games
    • Noted that only those folks who have signed up to chaperone each game will receive details associated with the game itinerary
    • The annual chaperone meeting will be held on Tuesday, August 28 at 6 p.m. (this corresponds with marching practice for the students)
    • Younger BISD students are invited to ride buses to the games as long as they stay with their parents.  Parents should inform Sunny when they have a younger student attending.
    • Gerald noted that most of the board members this year are parents of senior students and some of the board jobs, like First Vice President, are critical to the success of the Booster Club.  He encouraged any parents that might be interested in taking this position next year to work closely with Sunny this year so they have a full appreciation for what chaperoning entails.
  • Second Vice President – Keith Wise
    • Minute Maid park fundraiser update – currently have raised approximately $11,300 through 17 (of 20) commitments.  Plans are to work the 25th and 26th of August and the 30th of September to complete our commitment.
    • Golf Tournament update – Tournament is set for September 18 at Jackson Oaks Golf Course.   Sign up sheets are available for people that want to help with this event.  Still in need of hole sponsors (each hole cost $100 to sponsor).  Donors are also needed for other prizes and volunteers are needed the day of the tournament.  Contact Keith Wise directly if you are able to help.  Funds from this will go to reduce the cost of transportation for the Disney Trip.  Hole sponsorship is tax deductible.
    • Keith also mentioned our ongoing fundraisers - Kroger cards, Randalls cards, Food King Receipts – mentioned this to the parents and encouraged them to participate in these programs.
  • Spirit Support – Frances Socha
    • Need “Band-Aids” to help kids during marching practice. Band-Aids are parent assistants that monitor kids that temporarily leave marching practice due to illness, fatigue, etc. She is particularly in need of folks for after school practices.
    • Mon – Thurs – need help with preparation with iced water for water bottle refills during practices
    • Water bottle – students need to have a water bottle for all games and practices.  They should be filled before practice.  Ice water is available to students for refills.
    • Frances made available a written list of notes for parents to help them help their students know what to bring for practices and games.
    • Game meals – Chick-Fil-A and Wurst Haus – two options will be provided for each game day.  $5.00 and $6.00 options will be available – details will be posted on the website.   Payments must be in cash.  Suggestion from a parent was made that parents be able to pay one time per season to eliminate problems with students remembering to turn in their payments, etc.  Frances said unfortunately this isn’t an option at this point but if the situation changes, she will let parents know.  Parents can pick up envelopes and send with their child each week if they prefer
    • Frances is looking for easy catered meals for contests and she is willing to take suggestions from parents
    • Chaperones can also order for Friday meals if they like.
    • Have a list of tasks that need to be done in preparation for all games.  This list will be posted in the mechanical room.
  • Hospitality – Audrey Perez
    • Next Tuesday, 21st, is the  ice cream social following March-O-Rama.  Freshman bring ice cream, Sophomores bring sodas and Juniors bring ice cream toppings.
    • Audrey has a sign up sheet available for parents that would like to volunteer for this event.  Audrey also asked that volunteers also stay for clean-up
    • At the Booster meeting in September, Audrey will have a sign up for the Masquerade dance which will be held after the Festival of Lights parade on November 17.
  • Public Relations – Mark Abel
    • Beginning to order new inventory to sell.  Will have available at home football games and future Booster Club meetings.
    • Mark currently has shirts available for sale and is selling them at last years prices.
    • Important that all parents make sure that they are on the email list – lists are available for updating.
    • It was noted that all Booster communications go through Mark so it is important that he has email.  Also, parents should take note in the body of communications who contact is for any responses they may send and not to assume it should go back to Mark.
    • Gerald noted that he has created a Brazoswood Buccaneer blog. There will be a link to the blog posted on the website.  This is a way that Gerald can quickly communicate to band parents.  He will also use the band blog to help disseminate info from other booster clubs as well and encouraged parents to keep him posted of these events.
  • Auxiliary – Rhonda Kuharski
    • 38 girls in Guard this year, 21 of them are new to the guard.
    • Guard has held camps throughout the summer and also had sleepover in the band hall
    • Encouraged guard parents to help chaperone games as well.  Guard parents should indicate on the sign up sheets that they are with Guard.

Old Business

    • New Band Hall / Fine Arts Facilities Update - Gerald Roznovsky
      • Board has been receptive to topic of constructing a new band hall and plans are currently evolving to include a new auditorium and Fine Arts Center.
      • Gerald has met with Mr. Ripple and Mr. Snell on this topic.   Brent Boles owner of IAD Architects in LJ has offered his time to put together a needs based estimate for this facility.  Objective is to put together plans for a quality facility.
    • Wright Foundation Matching Fund  Recipient - Gerald Roznovsky
      • Mike Morris authored a proposal and the Band was awarded a Wright Foundation grant for a $10,000 matching fund grant to be used for a one time capital project.  The grant was used to replace all drums in the drum line, purchase 2 vibraphones and new drum major stands.   Lela Budwine provided an additional $19,000 to match this grant and complete purchase of all these items.
      • Gerald noted that we will have an opportunity to apply for a Dow and Wal-Mart grants later in the year.
      • Superior Fabricators helped refurbish the older drum major stands so they can be used during practices.
    • Truck (The Black Pearl) Update –  Sam Henry
      • Sam told the new Boosters that we received the 18 wheel tractor trailer rig last year.
      • Sponsor logos will be on the truck for the first football game this year.
      • Interior has been designed and will be put together the weekend of the 25th at the bus barn.  Asked for parent volunteers to work that weekend
      • Brazospipe and Fabricators has offered to help us build the 9 mobile instrument carts this Saturday.  Sam asked for volunteers to help – especially welders.  Sam will send out a note with the time for the workday this Saturday.
      • Mentioned some of the typical capital improvement projects that have historically been done
    • Props –  Sam Henry
      • Another company has offered to help build and furnish the props this year
      • We have a very large and ambitious set of props to support our show this year
      • Also encouraged men to sign up and help with chaperoning this fall

New Business

    • Review and Approval of 2007-2008 Budget - Gerald Roznovsky
      • Noted that the fiscal year runs June to May.
      • Reviewed the line items for the budget.  Patty Sayes moved to approve the budget and Jeff Gilbert seconded the motion.  The budget was unanimously approved.
    • Ice Cream Social and March-O-Rama
      • Jim explained that March-O-Rama gives parents an opportunity to experience the marching program with their
    • Masquerade Party to be held on November 17 following the Festival of Lights parade.
    • Formation of By-Laws Review Committee - Gerald Roznovsky
      • Gerald asked for 2 – 3 volunteers to review the current By-Laws and review with the Booster Club.  Those interested can contact Gerald.
      • Gerald asked that those interested contact him
    • Gerald mentioned the Football Booster Club Pancake Supper, Sat. 18th from 10 am – 12 noon
    • Gerald asked parents to help the band secure a Gator for the band – donation would be recognized with their name and logo on the side of the Gator.
    • Patty Roznovsky – asked parents to sign in for meetings using available sheets.  Noted that she will be placing bins for announcements at the entry door.  Patty has contacted the V.P. and Secretary of the band and they will put together a contact sheet (band officers, section leaders, guard officers, etc.) to provide to the students.
    • New calendar item – Friday night at 5:00 pm at the new Food Court at the mall the Drum Line will perform for the ribbon cutting ceremony.
    • Mr. Koch reminded parents that students need black backpack for band.  The band fee is $150.  Drug testing forms and other check off forms will be sent home at the beginning of school year and will need to be returned quickly with their band payment so that students can be issued their uniforms prior to the first football game (which is the first Friday after school begins.
    • Students are to wear black shorts, band shirts, black socks and black shoes for all games and contests.
    • Mr. Koch also mentioned that the website is being updated.
    • Uniform question from parent – Trixie Bone noted that uniforms are assigned based on seniority.

          Question/Answer Time

    • Photo CD’s from last season will be ready by September 5.
    • Anyone interested in helping with band photography should contact Gerald.   Hope to be able to post photos from events more quickly this year as well
    • 24th at Hopper Field there will be a football scrimmage at Hopper Field against Brazosport
