Buc Band Booster Club Meeting
August 1, 2006

Welcome – Susan Campbell

·         Meeting began at 7:30

·         Minutes from Apr. 18 approved

Band Director Reports

·        Mr. Koch

1.      Introduced Manuel Garcia – new Band President

2.      Manuel encouraged all the parents to support and participate in all the band activities

3.      Manuel - Discussed Fish Auction which will take place tomorrow

4.      Mr. Koch – Band learned 1st 4 sets of the drill today

5.      Santa Clara Vanguard music is basis of the drill

6.      Drill writer is right on target with schedule of providing steps

7.      Percussion – won PASIC – 2nd time they have won this competition.  Competition to be held in November

8.      Honor Band Competition - Symphonic band – 2nd in Region, tied for 1st in Area and 8th at State out of 14 finalists  

9.      Staff – exciting to have Mr. Casey back (20 yrs), Mr. Harper (7 yrs.) and new director, Mr. Sam Woodfield, and Mr. Kevin Goodson (shared with Brazosport High) – will add woodwind teaching to staff (Sam plays clarinet, Kevin plays flute )

10. Oct 7 – Galena Park (same location as Area)

11. Have a new Area Band distribution this year

12. Oct 14 – BOA in Pearland (10:30 time spot)

13. Oct 17 – UIL

14. Oct 21 – Woodlands – still not sure if there will be a competition yet.  Mr. Koch to confirm

15. Oct 28 – Area Competition at Galena Park

16. Nov 7– State Marching Band in San Antonio

17. Who marches?  Highest chairs march for contests.  All students march at games.  Anyone can challenge for a contest marching spot.  Discussed eligibility issues and how it impacts marching.  Arranging the JV team in groups of 20 for marching practices and games as well.

18. Game schedule – discussed that students option to buy food to eat before games (order form and check made out to vendor in locker 301)

19. Talked about check out process for parents at football games who would like to take their children home – can check them out in 4th Qtr with Mr. Woodfield

20. Band placement – placements from the spring are probably not optimum.  Not as critical for fall marching but for spring they have tryouts and  they have weekly chair tests on region band music – this is 40% of spring band placement, tryouts are 20%, 20% is for mock region band tryouts, and region band contest is 20%

21. Required that students have lyres and flip folders for marching season

22. Spring trip will be to Dallas this year.  It will include: Six Flags, Medieval Times, etc.  Will incorporate some new things since the band was in Dallas two years ago.  More details later in the year.

23. Fund raiser info was handed out today – profit (~40%) goes to student trip account – fundraiser is selling candles, chocolates, etc.  Brochure went home with students today from practice

24. Uniforms – as sections pass off fundamentals they get their uniforms issued.  Sections must pass off their drills. 

25. Fish Auction – will probably go to 5:15 to 5:30 p.m. for Freshman

26. Thursday – Section pictures will be taken.  Should wear band shirts

27. Shoe Sales on Friday.  T&D Shoe Sales - $33/pair

28. Performance Fee - $150 for each student (provided a list of items that the band covers with the fee).  Schools are not allowed to provide anything for free to students per UIL rules.  Food, drinks, music, charting, drill instruction, etc. all covered in the Performance Fee.  Students to pay the “uniform team leaders” when they also turn in all their forms.

29. Drug testing Release forms – Parents must sign for students to participate in band.  Parent’s are encouraged to rapidly return their forms because the administration will put pressure on the directors to make sure all the paperwork is returned

30. Talked about the 8 hr. practice rule – parent’s will sign a paper agreeing that they understand the practice time limit and rules per UIL

31. Question about using the website to notify parent’s of what forms have been sent home with the kids and Mr. Koch indicated they would try to post this type of info on the web

·        Mr. Woodfield – not in attendance (pool party)

·        Secretary Report – Jackie Hicks

·         Informed parents that minutes are posted on the web after each booster meeting

·        Treasurer Report – Robin Wise

·         No specific report

·         Just reminded parents of the reimbursement process.  All expenditures should be pre-approved by the Board

·         Reminded parents that the band is tax exempt and she can not reimburse any paid sales tax

·        Committee Reports

·        First Vice President – Sunny and Sam Henry

1.      Chaperoning – will be having a chaperone meeting for those who would like to sign up to help (August 29 at 6:15 p.m. during Tues marching practice) – all parents who sign up for games will be able to chaperone

2.      No contest sign up sheets – track who has chaperoned the most games and those with the most service are asked first if they are available to chaperone the contests

3.      Encouraged parents to sign up for all activities with legible emails

4.      Can contact Sunny up to Wed of the week of the game if parents want to chaperone and have not previously signed up

5.      Sam spoke on issues related to the truck. Truck is sitting outside the band hall.  Will pour a double driveway of crushed rocks to store the truck.  Hoping the cab will be painted this weekend and the trailer next weekend.  Truck and cab will be black.  Will not have the inside finished for the first game but will be making continuous progress early in the season.  Truck decal design has been approved.

6.      Capital Improvements – in the past we have provided lights in the parking lots, upstairs of the uniform room, painting stripes in the parking lot, etc.  Asked parents who are interested to sign up on the sign up sheets and they will be contacted by email to work on these special projects.

7.      Inside of the truck – will contact those who sign up for capital improvements for truck workdays as well

8.      Truck sponsorship – briefly discussed this but will provide more specifics after the next board meeting with respect to cost, contract details, etc.

9.      Lowe’s will sell all supplies to us at cost.  Home Depot as well.  Both may donate some quantity of materials

·        Second Vice President – Keith Wise

1.      Asked parents for fundraising ideas – mentioned that we have a Golf Tournament (September 23)

2.      Grocery store receipts can be turned in

3.      Offered Kroger cards to parents as well

4.      Will look at posting the Randall’s number on the website

5.      Coupon books will be sold as well.  This is done by an independent organization

·        Spirit Support – Sherri Archer

1.    Reminder to parents that students need to have a water bottle and it should be filled with ice water from home, then refilled as needed with water provided at practice

2.    Asked for volunteers to help with distributing water to students during practice

3.    Also responsible for providing band hall monitors and asked for volunteers

4.    Told the parents about options to help with all aspects of  keeping band watered and encouraged them to sign up

5.    Showed a new Band Monitor shirt and provided an option to purchase

6.    Mugs available for $5 – leftover from a previous fundraiser

·        Hospitality – Frances Socha

1.    Sign-up sheet for March-a-Rama available in band hall – provide ice cream and snacks

2.      Masquerade party sign ups will be available next month

3.      Banquet in the spring

4.      Explained that for most events they asked the Freshman, Sophomores, Juniors to bring items and Seniors are exempt

·        Public Relations – Doug Wright

1.    Complemented the parents on their attendance and support of the band

2.    Newsletters will be sent primarily by email.  Susan added that we will send newsletters via regular mail if parents do not have email.

3.    Doug has asked parents to make sure they receive emails or let him know so he can add to the list.  Mr. Koch will have students verify email list and the list will be tried so if parents do not receive emails they can let Doug know at the next meeting.

4.    Also, showed parents the array of Buc Band items that he has for sale

5.    Sleeveless shirts – have a sign-up for parents that are interested in getting one, he will then price the shirts

·        Auxiliary – Rhonda Kuharski

1.      Reminded parents that they need to sign up to chaperone the football games separately from Guard chaperoning that was discussed in separate Guard meeting

2.      Excited to have Mr. Woodfield leading the Guard this year

3.      Buying flags this year through some of Mr. Woodfield’s contacts

4.      Guard Mini-Camp - $35/child to be held Sept. 9

·        New Business 

·         Uniforms  

1.      Trixie Bone demonstrated the proper hem on the bibs for the parents

2.      Discussed that the new uniforms seem to have more “normal” hems than the older uniforms

3.      Advised parents to buy extra t-shirt for students, especially handy during competition season

4.      Discussed proper care and storage of the band coats

5.      Got new hats and hat boxes – hat boxes to be kept at home

6.      Told parents of the ability to get bibs cleaned at Frakey’s at a special price (~$2)

7.      Reminded parents of the need for black backpack, water bottle and inexpensive rain poncho

8.      Reminded parents that they should have a towel, carry music, extra socks and other items needed for band competitions and football games in their backpacks

9.      Shoe sales will be conducted Friday at B-Wood during the afternoon practice – T&D Shoe Sales.  Style of shoes will remain the same as last year and the cost is $33/pr.

·         Volunteer Sign Ups – reviewed in individual committee reports

·         Website – Susan reminded parents that all contact emails are on the BucBand.org website

·         Trip Accounts – parents asked about when and how they can begin paying for Spring trip – estimates on calendar are cumulative – Sherri noted that checks should be made out to BISD and make sure  the student’s name is on the check and indicated that it goes to locker 301

·         Disney World – next school year Spring trip

·         Question about yard signs – have some signs for students that did not get one last year and Doug has ordered the new freshman signs

·         Food – haven’t firmed up who will provide food this year prior to football games but student’s will be notified and envelopes will be provided

·         Suggestion for having Prayer Support for the Band and Directors – Beverly Bernzen will coordinate and offered to stay to discuss with interested parents.
