Buc Band Booster Club Meeting Minutes

March 20, 2007

 

1.      Welcome – Susan Campbell opened the meeting at 7:30 pm

2.      Band Director Reports

·        Mr. Koch

1.      Complemented the student’s and  parent’s on the students quality of play

2.      Spring Trip – Seniors requested that they go to Dallas.  Plan is to stay at Marriott DFW North.  Buses have been rented and Medieval Times reserved.  Will leave Thurs at 3:30.  Will play at TCU for their clinicians.  Remaining details are in process.

3.      Before Spring Break the band received a very generous contribution from Lela Budwine to help provide instruments for the band.

4.      Texas Tech is coming next Tuesday at the Clarion at 7:00 pm.  Parents were encouraged to attend.

5.      Director announcements – Mr. Koch has “write privileges to this section of the website and tries to keep it updated.  He encouraged parents to check this weekly.

6.      August 6 is the first day of Band Camp for the 2007 – 2008 season.  Drumline will begin on August 2

7.      Music arranger is Daniel Montoya this year.  Band directors have met with Daniel and are hopeful that we will get our music on time.

8.      Mr. Ripple and Mr. Snell did come and look at the Fine Arts rooms following Mr. McFatridge’s discussion at the last School Board meeting

9.      Mr. Casey was inducted into the Phi Beta Mu National Music Honor Society.  Booster Club showed their support and congratulations for this honor.  Mr. Casey added that Mr. Koch would never mention it, but he too was inducted.

1.      Jazz Bands will play at the Fish Fry from 5 – 7 at St. Michaels this Friday evening

2.      Jazz Festival - Will leave on Friday the 30th, play at Temple Jazz Festival.  Go to Huntsville on Saturday and play in their competition.  Not sure of the Sunday schedule just yet.  A detailed schedule will be made available.

3.      Account list is on the bulletin board for parents to check balances so that they know what payment remains for spring trip.  Trip commitment form and full payment due no later than March 27.

3.      Secretary MinutesJackie Hicks –

·        Robin Wise moved to accept minutes of the February meeting as posted, Rhonda Kuharski seconded the motion.  Unanimously approved by the Booster Club.

4.      Treasurer Report Robin Wise –

·        Robin reported on the balance posted on the back of the agenda.  Mentioned that Barry Finley has agreed to do the band taxes at no charge for this year and into the future, as well.

5.      Committee Reports

·        First Vice President – Sunny and Sam Henry

1.      Sunny will send emails to solicit chaperones for the upcoming Spring Trip and asked interested parent’s to send her an email.

2.      Sam reported that we have had a good response to requests for sponsoring the truck.  Currently have 15 sponsors.  We have 32 spots on the truck.  Sam has extra forms for those parents who may be willing to solicit additional donations from local businesses.

·        Second Vice President – Keith Wise

1.      Mentioned the upcoming ice cream social at Baskin Robbins on the 29th and encouraged parents to support this event.  Susan mentioned that Baskin Robbins selected the band, from all local non-profit organizations and presented them with a donation at their Grand Re-Opening giving the band $250.

2.       Booster Club is collecting used cell phones – reminded parents to bring used phones for this fundraiser.  Suggested that SIM card memories be cleared before phones are donated.   

3.      Plan to sell water at graduation as a fundraiser.

4.      Also looking at working the concession stand at Cynthia Woods Pavilion.  Will provide additional details later.

5.      Checked on Randall’s card donations.  Last check was in February 2006.  Keith will follow up to see what the details of this situation.

·        Spirit Support – Sherri Archer

1.      At the May 1st boot camp Sherri will try to have a band supply clean up and encouraged the parent’s to come and participate in the clean-up from 6 – 8:30

·        Hospitality – Frances Socha

1.      Banquet plans are well underway.  Will send the invitations home the week of Spring Trip.  Money, reservations and food selection must be turned in by May 4 for the May 18 banquet.  This can be turned into Locker 301.  Chaperones must pay for dinner and will receive additional information by email.  If a student doesn’t want to eat then they must wait till 8:00 pm to enter the banquet.  Frances will send reminder emails to those folks who have volunteered to chaperone.

2.      Susan complemented Frances and her team for the hard work they have done in preparing for the banquet.

·        Public Relations – Doug Wright

1.      No report

2.      Does have merchandise available if parents are interested

·        Auxiliary – Rhonda Kuharski

1.      Girls compete this weekend at Cypress Fair and the following week at the State competition

6.      Old Business

1.      Spring Trip

2.      Band officer election committee presented a report on the slate of officers.

·         President – Susan Campbell and Gerald Roznovsky

·         1st VP – Sunny Henry

·         2nd VP – Keith Wise

·         Secretary – Jackie Hicks

·         Treasurer – Robin Wise

·         Hospitality – Theresa Delafuente and Audrey Perez

·         Spirit – Frances Socha

·         Public Relations – Mark Abel

·         Auxiliary – Rhonda Kuharski

·         Sherri Archer, on behalf of the committee, solicited additional nominations from the floor.  There were no further nominations received.

·         Each candidate was able to give a brief speech on their qualifications during the meeting.

3.      School Board Meeting (April 3, 2007 at 5:00 pm)

·         Sign up sheet was posted for parents who want to attend and support the band needs for a new band hall

·         Mr. McFatridge summarized his recommendations for how the Booster Club should approach the School Board regarding the building of a new band hall

·         Susan encouraged parents who may not be able to attend the April meeting to send her a note so they can be contacted regarding attendance at future meetings.

·         Patty Sayes suggested that we draw up a “letter of support” for parents to sign asking the School Board to consider building a new band hall facility.  Patty offered to write the letter – the offer was graciously accepted by the Booster Club.  Discussed that all taxpayers could sign the letter showing support for this suggestion, would not have to be limited to band parents.  Point was made that this is not a petition, it is simply a letter that encourages the School Board to consider supporting a new band hall facility.

·         Sam Henry reinforced his previous experience in talking to the principal and building director regarding the excessive cost of refurbishing vs. building a new facility.  Building a facility from scratch is currently more attractive financially.

·         Suggested that the letter be posted on the website so that parents can be aware of what it says prior to signing.

·         Also suggested that the letter be circulated to the LJIS band parents for support as well

·         Frances Socha made a motion to support this suggestion and Mike Morris seconded the motion which was subsequently unanimously approved by the Booster Club.

7.      New Business

1.      Susan mentioned that the Brandon Goddard Memorial scholarship fund has additional contributions not yet reflected in the Treasurer’s report – they should be shown in next month’s report.  Donations should be made out to the Booster Club with a note on the memo line that indicates that it is for the Scholarship Fund.  April 20 at Brazos Pointe Fellowship Church will be a community Youth Gathering and concert with all proceeds going towards the scholarship fund.  Local youth praise bands will play.

2.      Mrs. Bernzen announced that Sr. Band “Tour” Shirts are available for Seniors – cost is $10.  Checks can be made out to the Booster Club.

3.      Mike Morris commented that he was very appreciative of all the work that the Booster Club members put into making the Band organization a success.

4.      The next booster club meeting has been moved from April 3 to April 17.  This will allow more time for Spring trip details to be finalized and last minute questions to be answered.
